How to Use Scanlily Alerts and Flags
Inventory management is more than just keeping track of what you have. It is about knowing when something needs your attention. That could be due to a low stock level, an item that is about to expire, a price change, or equipment that requires maintenance.
Scanlily’s Alerts feature helps you spot these situations early. You can set alerts for specific conditions, and when they happen, you will see them on your dashboard and get a notification by email or push. It is an easy way to stay on top of important changes without constantly checking items yourself.
How to Set an Alert

Open the item page and select an item

Tap the blue button with three dots in the bottom right corner

Select Alert

Choose the type of alert you want to set and decide who should receive it
Alerts are sent to the logged-in user by default. If you are a Power User, Administrator, or Superuser, you can choose to send the alert to a different individual or to a Shared Action Team so multiple people are notified.

Types of Alerts
Quantity Alerts:
Notifies you when an item’s quantity falls below the number you set. This helps avoid running out of important items and keeps operations running smoothly. Example: Get an alert when ink cartridges fall below 3 in stock.
Expiration Date Alerts:
Sends a reminder a set number of days before an item’s expiration date. This helps you plan ahead and reduce waste from expired products. Example: Be notified 7 days before a batch of chemicals reaches its expiration date.
Price Alerts:
Notifies you if an item’s cost, price, or value goes above or below the threshold you set. This helps you react quickly to changes that affect budgets or pricing. Example: Get an alert when the supplier cost for coffee beans increases above $20 per bag.
Flags:
Triggers when an item is flagged with a specific condition. By default, this can include statuses such as broken or needs service, but you can customize the flag list to match your workflow. On the Scanlily map, flagged items appear in red at their location, so they are easy to spot. Example: Receive an alert when a laptop is flagged as “Needs Repair.”

A flag is a special type of attribute with a dropdown list of values you can assign to an item.
Common default options include:

Restock

When an item is flagged, it will appear in red at its location on the Scanlily map, making it easy to see where attention is needed.

The Flag attribute is not part of the default item type, but you can add it by:

Opening the blue button with three dots

Selecting Add or Remove Fields

Choosing Flag from the available options

You can customize the list of flag values by:

Clicking the pencil icon next to Flag

Entering your values in a comma-separated list
