26. Public Items and Passcodes

 

Public items are made viewable to those not using the app or people with different Scanlily accounts. Any user with permissions of Power User, Administrator or Superuser, can make items public.

 

The “Publicly viewable” checkbox on the Item Page is checked by default.  But if it is not, click on it to make it public. 

 

 

For simple Scanlily versions, such as "Simple Inventory" or "ShelfLily", this checkbox is hidden and assumed to be checked.


When an item is publicly viewable, that means people can access them who don't have an account on the system and/or do not have the app installed.  They can do so by scanning the Scanlily QR Label for the item with their phone's camera.  This will bring up a web page with the specified fields made available to them.  

 

It is also possible for you to Share the item in several ways in the app and mobile site.  The above-depicted Shareable web page link can send the link via email, Whatsapp, Slack, Facebook messenger and other platforms to others without an account to view a web page of the item.

You can also share your inventory of items via Scanlily's Shareable Inventory features.



Making Attributes Publicly Viewable

 

 

When an item is publicly viewable, that means people can access them who don't have an account on the system and/or do not have the app installed.  They can do so by scanning the Scanlily QR Label for the item with their phone's camera.  This will bring up a web page with the specified fields made available to them.  It is also possible for you to Share the item in several ways in the app and mobile site. 

A paying subscriber Superuser or Administrator can customize which items are visible or not by clicking on the Public View links from the Edit Item type page and toggling between the options.  In the below example, public viewers will see the item's name (assumed), Description and Category.  They will be able to change the quantity. Perhaps the viewer is a worker who updates nothing but quantities in a warehouse.  In this example, the Cost and Address attributes are hidden.







Passcodes for viewing public items



Scanlily includes an option that will by default present a passcode that you instruct your users to enter for viewing this or any other public items on your account without the app. 

 

 

 

Your users (or you) can then scan outside the app with the phone’s camera. A web page asks for the passcode:

 

 

 

After a user enters the passcode, they can view your item. The passcode will be stored in a cookie, which means that the next time the user scans this or a different public item on your account, a password typically won’t be required. The exception is if the user has turned off cross-site tracking for their mobile browser. In that case, they’d need to re-enter it every time. You can go to your browser’s settings to turn off cross-site tracking for your browser.

 

By default, Scanlily's passcode feature is disabled.  You can enable or disable it via the Settings->Subscriber Profile screen:

 

In this case, Scanlily will conduct geofencing when a public item is scanned by someone outside your subscription. If the person is very distant from your item, then the results will not be shown. This prevents unauthorized access to your public items - for example, preventing someone from the other side of the world from accessing your information.






Reasons for not seeing the Publicly Viewable Feature



To make items public, your user role must be either Superuser, Administrator or Power User. The feature is not available for lower level users.  Furthermore, the feature is not available in the mode of "Simple inventory or Storage" or simpler versions of the app such as ShelfLily.
