Scanlily's Label Generator allows Business subscribers to create and print their own Scanlily QR labels in various formats. This feature is particularly useful when you need labels quickly, want to print labels in bulk, or prefer to customize labels with your organization's branding.

a. Accessing the Label Generator

To access the Label Generator, you need to be logged into the Scanlily User Website as a Business subscriber:

  1. Log in to the User Website at https://s.scanlily.com

  2. Click on your profile icon in the upper right corner

  3. Select "Labels" from the dropdown menu

This will take you to the Label Generator page where you can create custom labels for your organization.

b. Understanding Label Formats

The Label Generator offers multiple label formats designed to work with standard label sheets from manufacturers like OnlineLabels and Avery. Each format serves different purposes:

Available formats include:

  • 2.5" circle with QR - Perfect for round containers or decorative labeling (OL350, Avery 22830)

  • 1.2" circle with QR - Small circular labels for compact items (OL6000, Avery 22886)

  • 4"x6" thermal labels - For shipping label printers, available with QR only, barcode only, or both

  • 1.75" x 2.75" rectangles - Available in white or 6 colors, with options for adding your organization name and  logo (OL857)

  • 2.5" square labels - Available in white or 6 colors (OL291, Avery 94104)

Each format is optimized for specific label sheet products, ensuring your labels print correctly and align with pre-cut label sheets.

c. Generating Labels

To generate labels:

  1. Select Label Format - Choose from the dropdown menu based on your label sheets and needs

  2. Enter Number of Labels - Specify how many labels you want 

  3. Add Organization Name (optional) - Enter up to 32 characters to appear on labels.  This is available for the 1.75"x2.75" and 4"x6" labels.

  4. Upload Logos (optional) - Add custom branding to your labels. This is available for the ZS857Multi and ZS857N 1.75" x 2.75" labels.

  5. Click Generate Labels to create your PDF

The system will generate unique Scanlily QR codes for each label. These QR codes work just like purchased Scanlily labels - they can be scanned with or without the app installed.

d. Customizing Labels with Logos

The Label Generator allows you to replace the standard writing area on labels with your organization's logo. This creates professional, branded labels that are instantly recognizable as belonging to your organization.

Logo Requirements:

  • Format: PNG files only

  • Optimal Size: 300×150 pixels

  • Maximum File Size: 2MB

Logo with Black Text (Required if using logos) This is your standard logo with black or dark text. It will be used on labels with white or light backgrounds. Upload a PNG file with your logo exactly as it normally appears.

Logo with White Text & Transparent Background (Optional) This specialized version of your logo uses white text on a transparent background. It's designed for labels with colored backgrounds (red, blue, green, purple). This white text version can approve the appearance on dark backgrounds.  In the following example you can see how the white text logo appears on colored labels:

 

e. Previous Orders

The Label Generator page displays your previous label orders at the bottom. This history shows:

  • Order # - Click to view and reprint specific orders

  • Date - When the labels were generated

  • Quantity - Number of labels in that order

This feature is helpful when you need to:

  • Reprint damaged or lost labels

  • Generate additional labels with the same settings

  • Track your label generation history

f. Tips for Successful Label Printing

Before Printing:

  • Ensure your printer settings are set to 100% scale (not "Fit to Page")

  • Disable any automatic scaling in your PDF viewer

  • Use high-quality label sheets for best results

Printer Alignment:

  • Print a test page on regular paper first

  • Hold it up against your label sheet to check alignment

  • Adjust printer margins if needed

  • Sometimes printers are slightly out of alignment for all print jobs.  Scanlily can help you overcome this with custom adjustments for your account to compensate for the misalignment.  If you encounter alignment problems due to your printer being out of alignment, then Contact Us to help adjust it.

Logo Optimization:

  • Create logos at exactly 300×150 pixels for sharpest results

  • Use high contrast between logo and background

  • Test print one sheet before printing large batches

 

g. Managing Generated QR Codes

Labels generated through the web interface create real Scanlily QR codes that:

  • Work immediately after printing

  • Can be scanned without the app (for public items)

  • Integrate fully with all Scanlily features

  • Can be assigned to items just like purchased labels
