a. Typical Attributes on the Item Page
The Item Page is where you add, update and view Items and Containers. You can get to it by scanning a physical QR code or by selecting items from the Item List or Containers Pages. The number of Attributes on each Item Page depends on each item’s type. Read about Customizing Item Types to learn how to change what attributes are shown. If your account has multiple users, users with more limited access levels will not see the edit pencils or other mechanisms for making changes.
a. Typical Attributes on the Item Page
The following are some attributes you may encounter on the Item Page. Visit the section on Attributes to see a list of standard attributes.
b. Special Attributes
Name
The Item’s name is always required. It is possible to have two items with the same name, but good practice to avoid that so as not to create ambiguity when seeing lists of your items.
ID (QR or barcode)
The ID field is intended to contain the item’s QR code or barcode.
When you scan a Scanlily QR, it will enter into this field the QR abbreviation like “z/abc123”. This will appear on reports and in search results. It is the last eight characters of the QR code. The full QR stored in the system will be something like “https://s.scanlily.com/z/abc123”. You can view and email this QR to someone by clicking on the Print symbol.
The ID field can also be your own proprietary QR code or barcode. Or, you can have Scanlily generate a Scanlily QR. Read the QR Codes and Barcodes section to learn the different methods of entering different types of codes.
Type
The Item Type determines what attributes are shown on the item’s Item page. This field is hidden for Free-level subscribers but shown for Pro-level and Business-level subscribers - although it works behind the scenes for all levels. When you first set up Scanlily, there are two default item types created: "Simple" and "Standard". "Simple" has fewer fields and is the default type for Containers. "Standard" has more fields showing. If you want to have the same attributes for all of your items, you can leave this as is. Otherwise, if you have the appropriate access level, you can click the pulldown next to the Type to pick an Item Type or add a new one. Alternatively, you can click on the bottom right menu and select "Add or Remove Fields". Click the edit pencil to edit one; for example, if you want to display more fields.
Category
You can select that item’s category or add new categories by clicking on the pencil to the right of the category name. This field is not required but is very useful because it is used to group items in reports and the item list page.
Address
If you have a single-user account, the address will be hidden because you will only have one address. Otherwise, you can click on Address to change or update it. Read more here.
Location
A Location is a place at an address such as "Closet 1", "Shed" or "Warehouse". Each address can have multiple locations. Read more about locations here.
Attachments
Attachments are a section rather than a specific attribute. The section can include images, documents, notes, and reminders. Read about attachments here.
c. Other Attributes
Character fields
Brand is an example of a character attribute. If you have the proper permission to edit the item, you can click on the word (for example “ExcaBrand”) to edit the item.
Number fields
Asset Life Yrs is an example of a number attribute. The number field allows for decimals.
Money fields
Cost and Price are examples of money attributes. There is also a Currency field to indicate the type of currency such as "USD" or "EUR".
Long Text fields
Description is an example of a long text attribute. It opens up a separate page that will enable you to add some sentences. You can type properly formatted URLs into these fields and they will open a browser to the appropriate page when clicked.
Date fields
Purchase date, above, is an example of a date attribute. Change dates by clicking on the date.
Quantity field
Quantity is useful if you are tracking inventory. You can type or change the value quickly by clicking on the + or - symbols.
The Quantity field is generally not applicable for large items that get their own QR code, like the above-depicted Excavator. When Quantity is blank or null, the system assumes that there is a quantity of 1. When Quantity is explicitly set to '0', then the system considers it a quantity of zero.
Flag field
The Flag field allows you to set a status for your item. By default, it is a dropdown allowing you to select from the following values: Broken, Dispose, Flagged, Lost, Need to Recharge, Need to Renew, Need to Service, and Restock. If you are a Pro or Business subscriber, you can edit this list to whatever values you want.
d. Assigned To field
The Assigned To field allows you to select from a list of users in your Business subscription and assign the item to that user.
e. URL Redirect field
The URL field is a feature that allows Scanlily QRs to redirect to a specific website that you define. For example, if you add a properly-formatted website URL into this field, then when a user scans a label with that QR, their phone opens up that website rather than the item page for the app.
f. Scannable fields
Content can be added to these fields by typing them or by selecting the barcode next to them to scan. These fields include ASIN, EAN, Serial Number, SKU and UPC.
g. UPC and EAN fields
UPC and EAN/ISBN are Scannable fields (see above). Furthermore, Pro and Business subscribers can lookup information and add it or add new items by scanning or entering their values. The system will pull from information stored in an online database of a half billion UPCs, EANs and ISBNs.
h. Menu Options
The bottom of the Item Page has a blue button with three dots, which opens a menu of actions you can take with the item. The actions available to you depend on your account setup and access level.

Here are some actions that might be available on this menu, depending on your subscription and access level:
Create Multiple
Click here to create copies of the item.
View Copies
This brings up a list of item copies you can select from
Delete
Note that you can’t delete a container with items in it. You’ll first need to remove those items from the container.
History
Track the history of each item! History is not available to Free subscribers. Learn more about the history feature here.
Alert
Allows you to set threshold alerts on fields. For example, if an item quantity falls below a certain level, you get an email or notification. Alerts are not available to Free subscribers. Read more about alerts here.
Add to Container/Remove from Container/Change to Container/Revert from Container
The section on Containers describes this feature.
Change to Basket
This changes an item to a Transfer Basket. Basket are a central part of Scanlily's enterprise inventory management features and allows shipping between multiple items between sites. Read more about it here.
Add or Remove Fields
This allows you to add or remove fields shown on the Item page (pertaining to your current Item Type). Read more about customizing Item Types here.
GPS Features
If you have GPS enabled, this allows you to view your item on a map as well as change its location to your current address or another address. Read more about GPS features here.
Refine with AI
This option causes AI to look at your item's image and propose a description and field values, that you can approve. If you've already used AI, this is a chance to get alternative wording or more details. For example, the first AI pass regarding books or games may be less detailed and this will provide more details. If you haven't yet used AI recognition, this can get the first AI wording. i. Bookings
If you have bookings enabled on your account, this section will be titled by the Booking Mode you selected. From there, you can perform and see checkouts, reservations, or reservations with pickups. Read more about Bookings here.
j. Container Section
The containers tutorial section explains how to use containers.
If the item is in a container, you will see that listed and be able to click on it here.
If the item is a container with items in it, you can view, add and delete items here. You can also change item quantities, move items selectively and approve draft items.
